In the corporate landscape, being busy doesn't necessarily mean making a lasting impact. We often find ourselves caught up in a whirlwind of activities and 'essential' meetings. You can get SO much done in a 15 minute meeting; a few moments to build rapport then jump back into it. 1 hour meetings are INSANELY costly; if theres 5 people in the meeting and you all make $25 an hour; that cost the company $125.Now when its executives, C-suite, and they make $200 an hour; that cost goes to $1000Nice post!

    Are you prepared for the meeting before the meeting?Thereโ€™s nothing worse than sitting through a meeting that isnโ€™t productive or sitting through a meeting that could have been an email.Leaderโ€™s need to stop wasting time and start valuing the time of their people.A lot of planning and productivity can occur prior to a meeting with key individuals.     Keep the agenda shortโ€ฆ no more than three items.The goal here is focus. With more than three items on an agenda, you're likely to get lost in a rabbit hole of unrelated topics and side conversations.It's hard to know what conclusions to draw and what action items you have at the end when agenda items run amuck.Keep it short, and make sure all three agenda items are clearly connected to the core meeting purpose.

    While in the office, I had a meeting about strategy and business development, with a particular focus on the bigger picture (as most strategy meetings do), however, daily tasks kept cropping up and interrupting the flow of the conversation.Life is similar. We allow everyday tasks to almost take control, inevitably finding ourselves in a state of aspirational limbo, unable to break the repetitive daily cycle.So how do we get out of the repetitive loop?We should take a moment out to assess the future we want. Much like a corporate strategy meeting, we need an idea of the bigger picture and the end goal we have in mind.We then plan small actionable steps that we can incorporate into our busy schedules (you may need to tweak your calendar slightly).We try our best to stick to those plans, with an active awareness, as the more we stick to our plans, the quicker our goals will be achieved.Aspirational limbo is an awful place to find ourselves, but when we open ourselves up to accept change, and take chances, we can allow ourselves the opportunity to grow and succeed.If in doubt, talk it out.     Stop complaining about too many meetings eating up your time!!Here are a few things that changed the way I approached meetings & organized my time better:1. Create meetings for your focus time slots in your calendar. This could be for strategy decks, reviews, product specs, personal growth, etc. If people don't respect that time, keep these meetings private in your calendar, so no one can distinguish between meetings you are attending vs your personal focus time.2. If you are an attendee in a meeting, make sure you have clarity on the below - a. Meeting's agenda & outcome - If agenda & outcome is not defined, decline the meeting b. Urgency - If it is not an extremely urgent meeting, choose to politely decline & prioritise the meetings that need your time for that week/day. c. Importance - Depending on the importance & skill needed to drive the outcome of the meeting , you can choose to delegate it as well to a team-mate or your reports3. If you are setting up a meeting, keep in mind the following: a. Define the agenda and outcome of the meeting clearly, b. Attach a pre-read wherever possible c. Clearly identify your audience & use it to define time needed for the meeting as well. Rule of the thumb is every attendee should be allowed atleast 5-8 min of talk time. d. Keep the subject line precise but let it convey urgency & outcome.Try these tips & let me know if they have changed your life for the better. If you have better tips, feel free to share them with me.
